Introduction
This is the company-wide Privacy Policy for AgentEZ. It describes how the AgentEZ business and the agentez.ai website collect, use, disclose, and otherwise process information in connection with AgentEZ's own business activities and the Services we provide to Clients.
AgentEZ builds and provides AI agents and Agent-as-a-Service solutions, customer-facing AI assistants such as AgentEZ AnswerBack, AI-powered websites and digital experiences, workflow automations, custom and private AI systems, AI operating platforms, and related hosting, implementation, maintenance, support, and technology services. AgentEZ currently has a primary market focus on real estate, but our Services may support other industries and professional service providers.
Scope of This Policy
This Policy applies to information processed through:
- agentez.ai and AgentEZ's direct business, sales, account, implementation, and support relationships;
- AgentEZ websites, AI assistants, AI agents, automations, private AI systems, hosted services, Client-controlled deployments, implementation services, support, and related technology offerings (collectively, the “Services”); and
- Client experiences powered or supported by the Services, to the extent AgentEZ processes information for a Client.
This Policy does not replace a Client's own privacy notice or govern a Client's independent business practices. It also does not govern third-party websites or services that AgentEZ does not control.
AgentEZ, Clients, and Client End Users
Our role depends on the relationship and the context in which information is processed:
AgentEZ
“AgentEZ” means the AgentEZ business and the agentez.ai website. AgentEZ processes information for its own business purposes when people visit our website, contact us, request Services, or become Clients.
Client
A “Client” is a business, professional, organization, real estate agent, brokerage, team, or other service provider that purchases, uses, or receives AgentEZ Services. The Client owns and controls its customer or visitor relationship and its Client leads. AgentEZ does not own Client leads.
Client End User
A “Client End User” is a visitor, lead, customer, buyer, seller, buyer agent, employee, contractor, or other person who interacts with a Client experience powered or supported by AgentEZ.
When AgentEZ processes Client End User information on a Client's behalf, AgentEZ acts as a service provider or processor to the extent applicable. Each Client is responsible for its own business practices, privacy notices, disclosures, permissions, communications, and legal obligations relating to its Client End Users.
Information AgentEZ May Collect Directly
AgentEZ may collect information for its own business purposes when someone visits agentez.ai; requests information, a consultation, proposal, or demonstration; joins a waitlist; contacts us; becomes a Client; creates an account; purchases or subscribes to a Service; submits billing or business information; or requests implementation help or support.
Depending on the interaction, this information may include:
- name and business name;
- professional role;
- email address and telephone number;
- mailing or business address;
- account information and service preferences;
- project requirements and support communications;
- contracts and transaction records;
- billing-related information; and
- listing, business, operational, or knowledge-base information supplied by Clients.
Payment information may be handled directly by contracted payment processors when payment services are introduced or used.
Information Collected Automatically
When someone uses an AgentEZ website or Service, AgentEZ and contracted providers may automatically process information about the interaction. Depending on the Service and configuration, this may include:
- IP address;
- browser and device type;
- operating system;
- referring page;
- pages or features used;
- timestamps;
- approximate location inferred from an IP address;
- cookie or similar identifiers; and
- system, diagnostic, security, and usage logs.
Information Processed on Behalf of Clients
A Client End User may voluntarily submit information through conversations with AI assistants or agents, forms, registration pages, appointment or showing requests, email, telephone or messaging interactions, automated workflows, or other Client experiences. Examples may include names, email addresses, phone numbers, questions, chat messages, appointment or showing preferences, property or service interests, whether a person is represented by a professional, and other information the person chooses to submit.
This information is processed on behalf of the applicable Client and is intended to be delivered or made available to that Client. AgentEZ may technically transmit, host, process, secure, troubleshoot, or temporarily retain the information as reasonably necessary to provide the Services.
AgentEZ does not independently sell Client End User information, disclose it for unrelated targeted-advertising or data-brokerage purposes, use it to build an unrelated AgentEZ consumer-marketing database, or treat Client End Users as AgentEZ sales leads merely because they interacted with a Client experience.
A Client End User may separately become an AgentEZ prospect only if that person independently contacts AgentEZ, registers with AgentEZ, or requests Services from AgentEZ.
Client-Provided Content and Business Information
Clients may provide listing details, documents, FAQs, knowledge-base materials, instructions, contact information, operational data, workflow rules, account credentials for approved integrations, and other business information needed to configure or operate the Services. The nature of this content depends on the Client and Service.
Clients are responsible for having the rights and permissions needed to provide this content to AgentEZ and for giving AgentEZ accurate handling instructions. AgentEZ may process Client-provided content to implement, configure, host, maintain, secure, troubleshoot, support, and provide the applicable Services in accordance with Client instructions and applicable agreements.
How Information Is Used
Depending on the relationship and context, AgentEZ may use information to:
- respond to inquiries and evaluate or develop business relationships;
- provide proposals, consultations, and demonstrations;
- establish and administer Client accounts;
- implement, provide, maintain, support, and communicate about the Services;
- configure Client content, integrations, AI features, automations, and workflows;
- route Client End User requests and information to the applicable Client;
- process payments through contracted payment providers;
- maintain business, contract, transaction, and support records;
- understand usage and secure, troubleshoot, and improve AgentEZ systems and Services;
- detect, investigate, and prevent fraud, abuse, security incidents, or violations; and
- comply with applicable contractual, legal, tax, accounting, and other obligations.
AI Assistants, AI Agents, and Automated Processing
AgentEZ Services may use artificial intelligence, machine learning, language models, rules, workflows, and other automated technologies. Information supplied to an AI-powered feature may be processed to understand a request, retrieve relevant information, generate a response, perform an authorized action, route a request, or support a workflow.
AgentEZ may use contracted technology providers for AI processing and supporting infrastructure. Those providers may process or retain information according to the applicable service configuration, contractual terms, and their role in delivering the Services.
AI-generated responses may be incomplete, outdated, or inaccurate. Important information should be independently verified with the applicable Client or a qualified professional before it is relied upon.
Do not submit Social Security numbers, financial-account credentials, passwords, identification documents, medical records, or other highly sensitive information to an AgentEZ-powered feature unless that information is specifically requested through an approved secure process.
How Information May Be Disclosed
Depending on the context, AgentEZ may disclose information:
- to the applicable Client or at the Client's direction;
- to contracted service providers that support AgentEZ or the Services;
- when reasonably necessary to provide, operate, maintain, or secure the Services;
- to comply with applicable law, court orders, or valid legal process;
- to investigate fraud, abuse, security incidents, or violations and protect rights, safety, and property; and
- in connection with a merger, acquisition, financing, reorganization, or sale of business assets, subject to appropriate protections.
Service Providers
AgentEZ may engage contracted providers to perform services for AgentEZ or support delivery of the Services. Provider categories may include:
- cloud hosting and infrastructure;
- AI processing and model services;
- website hosting;
- databases and storage;
- communications and email;
- forms and lead routing;
- scheduling;
- analytics;
- payment processing;
- security, monitoring, and fraud prevention; and
- technical support and business operations.
These providers may access or process information as reasonably necessary to perform contracted functions, subject to applicable agreements and legal obligations.
Cookies, Analytics, Logs, and Similar Technologies
AgentEZ websites or Client experiences may use cookies, local storage, analytics tools, pixels, logs, or similar technologies for functionality, preferences, measurement, security, and performance. The technologies in use may vary by website, Service, Client configuration, and provider.
Available browser or device controls may allow users to block, delete, or restrict some cookies or similar technologies. Restricting them may affect the availability or operation of certain features.
Client-Controlled and Private AI Deployments
Services may be hosted and operated by AgentEZ, hosted through contracted cloud or technology providers, deployed within a Client's cloud account, installed within a Client-controlled office or technology environment, or delivered through a combination of these models.
For a Service installed in a Client's cloud account, office, network, or other Client-controlled environment, the Client controls that environment and its business information. AgentEZ may access information only when authorized and reasonably necessary for implementation, configuration, maintenance, security, troubleshooting, support, or another agreed service.
Exact access, processing, storage, and retention practices may depend on the deployment architecture, Client configuration, and applicable Client agreement.
Data Retention
AgentEZ retains information for periods appropriate to the context. Retention depends on the reason the information was collected, the applicable Service, Client instructions, contractual commitments, operational needs, security and fraud-prevention needs, backup and logging cycles, and legal and recordkeeping requirements.
Information may remain in backups, security logs, or records for a period after it is removed from active systems. In Client-controlled environments, the Client's settings, instructions, and systems may determine retention.
Data Security
AgentEZ uses reasonable administrative, technical, and organizational safeguards appropriate to the nature of the information and Services. Safeguards may vary based on the Service, deployment model, Client configuration, and risks involved.
No method of transmission or storage can be guaranteed to be completely secure. Users and Clients should also protect their accounts, credentials, systems, and devices and notify AgentEZ of suspected unauthorized activity affecting the Services.
Privacy Choices and Requests
Privacy rights vary by jurisdiction. A person may contact AgentEZ to request access to, correction of, or deletion of information, or to request information about AgentEZ's direct processing. AgentEZ will evaluate and respond to verified requests as required by applicable law. We may need to verify the requester's identity and may retain information where permitted or required.
For information AgentEZ processes on behalf of a Client, a Client End User should contact the applicable Client first because that Client controls the relationship and the relevant information. AgentEZ may assist the Client with a request when required or contractually appropriate.
Privacy requests concerning AgentEZ's direct processing may be sent to hello@agentez.ai with “Privacy Request” in the subject line.
If AgentEZ denies a privacy request and applicable law provides a right to appeal, the requester may appeal by replying to AgentEZ’s decision or emailing hello@agentez.ai with “Privacy Appeal” in the subject line.
Marketing Communications
AgentEZ may contact its own prospects and Clients about inquiries, requested Services, accounts, support, and AgentEZ offerings where permitted. Recipients may opt out of promotional email by using the unsubscribe method provided in the message or by contacting AgentEZ. AgentEZ may still send non-promotional communications relating to an account, transaction, support request, or Service.
Communications sent by a Client to its Client End Users are controlled by that Client. Questions or opt-out requests about those communications should be directed to the applicable Client.
Children's Privacy
The Services are intended for businesses, professionals, and general audiences and are not directed to children under 13. AgentEZ does not knowingly seek personal information from children under 13.
If AgentEZ learns that information was submitted by a child under 13 without appropriate authorization, AgentEZ may take steps to delete it. A parent or guardian who believes a child has provided information may contact AgentEZ at hello@agentez.ai.
Third-Party Websites and Services
AgentEZ websites, Client experiences, or Services may link to or integrate with third-party websites, platforms, applications, or services. Their privacy and security practices are governed by their own terms and policies, not this Policy, except to the extent AgentEZ receives and processes information from them. Users should review the privacy information provided by the relevant third party or Client.
International Processing
AgentEZ and its contracted providers may process information in countries or regions other than the place where a user or Client is located. Locations may vary based on the Service, provider, deployment architecture, and Client configuration. Where required, AgentEZ will take steps appropriate to the applicable processing and legal requirements.
Changes to This Privacy Policy
AgentEZ may update this Privacy Policy as our Services, practices, or obligations change. The “Last Updated” date at the top of the page indicates when the Policy was most recently revised. When appropriate, AgentEZ may provide additional notice of material changes through the website, a Service, or direct communication.
